The tenant picks a time first: offer a few times, or enter one they already agreed to. It goes on the building's calendar.

Walk-through: photos & notes
At the apartment: take photos of the problem and note what's needed.

Work order
Print it for the super or vendor, or email / text it.

Schedule the repair
In-house or a vendor. The tenant picks or confirms the date.
5
After walk-through & close out
After photos and the signed sheet, then it's closed.
